Installing Tixees on Your Phone (PWA)

Tixees works as an app on your phone β€” no app store needed!

1
iPhone (Safari)

Open Safari β†’ go to the admin URL β†’ log in β†’ tap the Share button (box with arrow pointing up) β†’ tap "Add to Home Screen" β†’ tap Add.

2
Android (Chrome)

Open Chrome β†’ go to the admin URL β†’ log in β†’ tap the three-dot menu β†’ tap "Add to Home Screen" or "Install App" β†’ tap Install.

βœ…
Once installed, Tixees runs full screen like a native app β€” and it works offline for scanning tickets even without internet!

🎭 2. Creating a New Show / Event

The Event Builder is a 5-step wizard. You can save your progress at any step and come back later.

ℹ️
Click + New Event in the top nav, or the + New Event button on the dashboard to get started.

Step 1: Basic Info

1
(Optional) Load a template or saved venue

Use Load Show Template to pre-fill from a previous event β€” perfect for recurring shows! Or Load Saved Venue to fill in the venue address automatically.

2
Fill in Event Details

Event Name, Date, Start Time, End Time (optional), Capacity (0 = no limit), On Sale Date (optional), and Status (Draft or On Sale).

3
Fill in Venue Details

Venue Name, Street Address, City, State, ZIP. Check "Save this venue for future use" so you never have to type it again!

4
Add Descriptions

Short description (max 120 chars β€” shown on the event card, like a tweet) and Full description (all the details, performer bios, age restrictions, etc.). Watch the live preview on the right update as you type.

5
Click Next β†’

Step 2: Images & Media

1
Upload your banner image

Drag a photo onto the upload area or click to browse. Tixees automatically creates 3 sizes. Supported: JPG, PNG, GIF, WebP (max 10 MB).

2
(Optional) Add a video

Paste a YouTube/Vimeo URL or upload an MP4/MOV file.

3
Click Next β†’
πŸ’‘
Pro Tip: Use a 1200 Γ— 400 px landscape image for the best-looking banner. A great image makes a real difference in ticket sales!

Step 3: Ticket Types & Fees

See Section 3: Ticket Types and Section 4: Fees for full walkthroughs of this step.

Step 4: Preview & Publish

1
Review the summary

Check all the details you entered.

4
Click Publish (or Save as Draft)

Your event is live! You can always edit it from the Dashboard later.

Step 5: Upsells (Optional)

3

πŸ’² 4. Configuring Fees

Facility Fee (Per Ticket)

A flat dollar amount added to every single ticket.

1
Event Builder β†’ Step 3
2
Find the "Facility Fee per Ticket" field

Enter the dollar amount, e.g., 2.50 for $2.50 per ticket.

ℹ️
Example: Ticket $20 + Facility Fee $2.50 = customer pays $22.50

3

ℹ️
Per Order example: "Parking Fee" β€” $5 Fixed Per Order β†’ customer pays $5 once no matter how many tickets they buy.

Per Ticket example: "Processing Fee" β€” 3% Percentage Per Ticket β†’ 3% of each ticket price added per ticket.

Tixees Platform Fee (Global)

The fee Tixees collects. Set globally β€” applies to all events.

1
Dashboard β†’ Platform Settings
2
Set the Platform Fee Percentage

e.g., 5 for 5%. Choose the fee mode: percent of ticket price, fixed per ticket, or fixed per order.

3
Click Save
⚠️
Platform fee changes affect ALL events. Check with your Tixees rep before changing this.

How Buyers See Fees

At checkout, buyers see a full breakdown before paying: ticket subtotal β†’ facility fee β†’ custom fees β†’ platform fee β†’ Total. No surprises.

🏷️ 5. Promo Codes

Creating a New Promo Code

1
Dashboard β†’ Promo Codes β†’ + New Code
2
Fill in the form

Code (uppercase, e.g., SUMMER20), Type, Value, Max Uses (0 = unlimited), Valid From, Valid Until, Min Tickets Required, and which events it applies to.

3

πŸ’‘
Pro Tip: Always set an expiration date so you don't have to remember to deactivate codes manually!

Tracking Usage

The Promo Codes table shows a Uses column (e.g., "47 / 100") and a Status (Active / Inactive) for each code.

Common Issues

⚠️ Code not working at checkout
Check that Active is checked and today's date is within the Valid From/Until range.
⚠️ Wrong discount amount
Verify the Type (percent vs. dollar) and Value fields are correct.
⚠️ Code applies to wrong event
Check the Applicable Events field β€” it might be locked to a specific event.

πŸ—ΊοΈ 6. Seating Chart Builder

Use the Seating Builder if your venue has assigned seating (rows, tables, booths). For general admission shows, skip this entirely.

ℹ️
Click Seating in the top nav to open the builder.

Adding Sections

1
Left panel β†’ click + Add Section
2
Choose the section type

See the table below.

3
Fill in the details

Name, plus row/seat counts or table count depending on the type.

4
Click Add

The section appears in the list and as a visual card on the right canvas.

Section TypeUse it for…
GA (General Admission)Standing room, floor areas, open seating
RowTraditional theater rows with numbered seats
TableRound tables at nightclubs, banquet halls
Couch/PodVIP couch sections, booth areas

Managing Sections

In the left panel you can drag to reorder sections, click the pencil icon to edit, or click the trash icon to delete (you'll be asked to confirm).

Linking a Layout to an Event

1
In the Seating Builder, click Link to Event
2
Select the event from the dropdown
3
Click Save Link

Buyers on that event page will now see a seat picker and choose their specific seat.

πŸ’‘
Available seats are highlighted; taken seats are grayed out automatically β€” no double-booking possible.

πŸ“ˆ 7. Dynamic Pricing

Dynamic pricing lets ticket prices change automatically based on how many tickets have sold. Prices go up as the show fills up β€” creating urgency and maximizing revenue.

Setting Up Dynamic Pricing

1
Event Builder β†’ Step 3: Ticket Types
2
On a ticket tier, click "Dynamic Pricing"

This expands the dynamic pricing panel for that tier.

3
Set your price tiers

Each tier has a threshold (% of capacity sold) and a price (the new price at that point).

4
Example setup

0–50% sold: $25 β†’ 50–75% sold: $30 β†’ 75%+ sold: $35. As more tickets sell, the price bumps up automatically.

5
Click Save

Prices update in real time as tickets sell β€” no action needed from you.

πŸ’‘
Pro Tip: Dynamic pricing works best for in-demand shows where you expect to sell out. For smaller shows you're less sure about, a flat price is simpler.
⚠️
Price changes only apply to new purchases. Customers who already bought at $25 keep their $25 tickets β€” price increases never affect existing orders.

πŸšͺ 8. Show Day Operations

Door List β€” Viewing Your Attendees

1
Top nav β†’ Door List

The page defaults to today's date β€” all events today load automatically.

2
Search for a guest

Type a name or email in the search bar β€” results filter in real time.

3
Use the Status filter

Show only: All / Valid (not yet checked in) / Used (already checked in) / Comp / Refunded.

πŸ’‘
The stats bar at the top shows Total / Checked In / Remaining / % Complete β€” it updates live as guests arrive!

Checking In Guests Manually

1
Find the guest in the Door List

Use the search bar β€” fastest way is searching by last name.

2
Click βœ“ Check In

The button changes to a timestamp, the row fades, and the stats update β€” guest is in!

βœ…
If a guest is already checked in, the button shows their check-in time and is disabled β€” preventing accidental double check-ins.

Using the QR Scanner

1
On your phone, tap Scanner in the nav

Allow camera access when the browser asks.

2
Point the camera at the guest's QR code

On their phone or printed ticket. Results appear instantly.

3

⚠️ Already ScannedThis ticket was already used todayYellow
❌ Invalid TicketQR code not recognized in the systemRed

The session log at the bottom shows all scans from this session β€” great for reviewing if there's a dispute at the door.

Offline Mode β€” When Internet Goes Down

Tixees pre-caches all of today's tickets when you load the Scanner page while online. If your connection drops, you'll see a πŸ“‘ Offline Mode badge on screen.

What still works offlineWhat happens to offline scans
Scanning QR codes βœ…Marked as "offline" in the session log
Ticket validation βœ…Queued up automatically
Session log βœ…Syncs to the server when connection returns
⚠️
Critical: Load the Scanner page while you still have WiFi BEFORE doors open. This caches all tickets. Don't wait until internet is already gone!

🎁 9. Comp Tickets & Will-Call

Issuing a Single Comp Ticket

1

A progress bar shows status. Max 1,000 rows per upload.

5
Click Email All or Download CSV

Send tickets to everyone at once, or download the results for your records.

⚠️
Ticket type names in your CSV must exactly match the names in Tixees β€” spelling and capitalization both matter!

Will-Call Check-In

Comp tickets show a 🎁 COMP badge in the Door List. Will-call comps (not yet arrived) show πŸ“‹ Will Call. Check them in exactly like regular tickets β€” scan their QR code or click βœ“ Check In.

πŸ‘₯ 10. Waitlist, Transfers & Group Sales

Waitlist Management

When a show sells out, customers can join the waitlist. When tickets become available (from a refund), Tixees automatically notifies the next person in line. They have 24 hours to complete their purchase.

1
To view the waitlist

Go to Reports β†’ Waitlist β€” shows all entries by event.

2
To manually notify someone now

Find their entry and click Notify β€” sends the purchase link immediately without waiting for the auto-trigger.

Ticket Transfers

Customers can transfer a ticket to someone else. Tixees handles the email and generates a brand-new QR code for the new holder automatically. Transfers expire after 48 hours if the recipient doesn't accept.

1
To view a transfer in progress

Reports β†’ Attendee List β†’ find the ticket β€” transfer status shows on the record.

2
To cancel a transfer

Find the ticket in the Attendee List β†’ cancel from the ticket detail view.

πŸ’‘
If someone at the door says they transferred their ticket, look up the new ticket holder's name β€” the original QR code is no longer valid once a transfer is accepted.

Group Sales

Group sales are for customers buying 10+ tickets who want a discount. A yellow badge on the Group Sales nav link means you have pending inquiries waiting!

1
Dashboard β†’ Group Sales

Use the Status filter: Pending / Approved / Declined / Purchased.

2
To approve an inquiry

Click Approve β†’ fill in original price per ticket, discount %, approved quantity, and optional notes β†’ click Approve & Send Email. The customer gets a custom checkout link at the quoted price.

3
To decline an inquiry

Click Decline β†’ enter an optional reason β†’ click Decline & Notify. The customer is emailed automatically.

Abandoned Cart Recovery

Customers who started checkout but never finished. Sending them a reminder email often converts them.

1
Dashboard β†’ Abandoned Cart Recovery
2
Find the customer and click Remind

Sends a recovery email with their cart link pre-loaded.

The stats cards show total abandoned carts, successfully recovered, recovery rate %, and revenue recovered.

πŸ“Š 11. Reports & Analytics

Issuing Refunds

1
Reports β†’ Attendee List β†’ find the customer and their ticket
2
Change the ticket Status to Refunded
⚠️

Troubleshooting

πŸ“± Scanner Problems

Camera won't start
Allow camera permission in your browser/phone settings. On iPhone: Settings β†’ Safari β†’ Camera β†’ Allow.
QR code not scanning
Make sure the code is well-lit and flat (not creased). Ask the guest to increase their screen brightness.
Says "Invalid" for a valid customer
Open the Door List, search their name, and check them in manually from there.
Offline mode not working
Load the Scanner page while on WiFi BEFORE doors open. Offline mode only works after the cache is built.

πŸšͺ Check-In Problems

Check-in button is grayed out
The ticket is already checked in β€” look for a timestamp in the button showing when they came in.
Ticket shows "Refunded"
This customer received a refund β€” do not admit them. Direct them to the box office.
Customer's name isn't on the list
Try searching by email address. If still not found, ask them to show their purchase confirmation email.
Customer says they transferred their ticket
Look up the new ticket holder's name β€” the original QR code is void once a transfer is accepted.

πŸ“‹ Event Not Showing

Event not on today's door list
Check that the event date is correct in the Event Builder β€” may have been set to the wrong date.
Door list is empty
Make sure the date picker is set to today, then click Refresh.

🏷️ Promo Code Issues

Code not working at checkout
Verify: Active is checked, today is within Valid From/Until, and the code is spelled exactly right (it's case-sensitive).
Wrong discount amount applied
Double-check the Type field (Percent vs. Dollar) and the Value amount.
Code applies to the wrong event
Check the Applicable Events field in the code settings β€” may be locked to a specific event.
